Designing a Scalable Operations Platform EventOPS for Managing Complex Global Events

EventOPS is an enterprise event operations platform designed to simplify the planning and execution of complex events such as conferences, corporate summits, and exhibitions. Event teams often rely on fragmented tools like spreadsheets, emails, and multiple software systems to manage logistics, budgets, and schedules. This lack of centralized visibility leads to inefficiencies, coordination challenges, and limited operational insight. EventOPS was designed to address these issues by creating a unified platform that brings event planning, budgeting, scheduling, and team collaboration into one integrated system. The primary goal of the project was to design a scalable product that could support the operational needs of large event teams. Through product discovery and workflow analysis, the platform was structured into key modules including dashboard, event management, budget tracking, task coordination, and space/resource scheduling. The design approach focused on simplifying complex workflows while ensuring that users could easily navigate between different operational areas without losing context. The dashboard was designed as the operational command center, giving event managers a clear overview of ongoing activities. It provides quick insights into event status, budgets versus actual spending, task progress, and scheduling conflicts. By prioritizing data visualization and modular components, the dashboard enables users to quickly understand the health of an event without navigating through multiple pages.

EventOPS Budget and Resource Management system

Another key part of the platform is the budget and resource management system. Event teams can allocate budgets by category, track committed and actual expenses, and monitor revenue streams such as sponsorships and ticket sales. A calendar-based interface was also introduced to manage spaces and resources, allowing users to search available venues, schedule sessions, and identify potential conflicts in advance. EventOPS ultimately creates a centralized operational workspace that helps teams coordinate large-scale events more efficiently. By combining financial tracking, task management, and resource scheduling into a single platform, the product improves visibility, reduces operational complexity, and enables better decision-making for event managers. The project reinforced the importance of strong information architecture and data-driven design when building enterprise-level operational products.
